Xero keeps the price you typed on day one

Your supplier puts prices up. The bill shows the new price, but the item in Xero still shows the old one. The next purchase order goes out at the wrong price, and any margin you work out from the item card is out of date.

Xero doesn't update it for you. The request on Xero Product Ideas has been open since 2022 and has nearly 200 votes.

How it will work

  1. Connect Xero

    Sign in with Xero and choose which organisation to connect. Nothing to install.

  2. See what's out of date

    A first report lists every item whose purchase price differs from its latest bill, so you can see the gap before changing anything.

  3. Let bills update prices

    From then on, each approved bill updates the purchase price of the items on it, or lists the changes for you to approve first. You choose. Every change is logged with the bill it came from.

What it will do

  • Update purchase prices from approved bills
  • Let you exclude items or suppliers
  • Use the most recent bill when several suppliers sell you the same item
  • Optionally suggest a new sale price at your chosen margin, for you to approve

What it won't do

  • Change sale prices without your approval
  • Read bills that have no item codes on the lines
  • Store copies of your bills. It reads them from Xero and keeps only your settings and a log of the price changes it made
